Getting started with managing NCEA.
Our part 1 and part 2 videos provide good practice for NCEA in edge.
1. Create/Edit Courses
Timetable > Configuration > Courses (select Course); or
Timetable > Configuration > Courses > Create New
Identify new course name and name to be used when reporting (meaningful for parents and NZQA submission). Tick ‘Course Active’ if the course is current and to be effected in timetabling straight away. MoE Fields including Subject, instructional year level, hours per year - impact on roll returns.
Select course duration (academic year, semester or term) and dates for start or to remove the course and 'Save'.
In Course Summary the new course will be listed under year level or Undefined Instructional Year Level. The coloured flags indicate their status in terms of those completed, the flag will be green where everything required for timetabling the course is complete.
To edit course details click on the name of the course (link) from the Course Summary list.
2. Attach Teachers and Students to Courses
Timetable > Configuration > Courses > Course Summary (select Course); or
Timetable > Configuration > Courses > Create New
Students can select their own courses via the student portal.
Option selection in the student portal is enabled via Curriculum > Courses > Student Option Configuration.
Timetable > Configuration > Courses > Edit/Delete this course > Attach Standards
4. Course Endorsements
edge will automatically set a course as Endorsable if it meets the necessary criteria (minimum 14 credits, minimum 3 credits internally assessed and 3 externally assessed).
To exclude a particular course from Endorsement tick ‘Don’t allow Endorsement’ at the bottom of a course's editing page.
5. Create Classes
People > Memberships > Define Class; or
Timetable > Configuration > Course Summary (select Course)
Classes inherit the standards attached to their related course, but these can be individually edited (see Edit Standards)
6. Edit Standards
Achievement > NCEA > Edit Standards. Standards attached to students via their classes can be managed on an individual basis.
Use Edit Standards to individualise attaching standards on students by class.
*Note: Unticking a standard on a student doesn't mean the standard is withdrawn, it does mean it was never attached. Due to the additive nature of the NCEA submission process, the editing of standards on students should be completed prior to the first submission. A reminder that as part of the submission process there is the option to send only those internal standards that have a result. Attached external standards are always submitted.
7. Assign Standards to individual students (if required)
Achievement > NCEA > Assign Standards (select student) - ie. Gateway, extra standards, individualised courses, etc.
8. Mark NCEA
Administrators: Achievement > NCEA > Mark NCEA.
Teachers: Achievement > Select Class > Mark NCEA.
Marks can only be added to internally assessed standards. Any externally assessed standards attached to the class will not be listed.
9. Progress for NCEA
Administrators: Achievement > NCEA > Progress NCEA.
Teachers: Achievement > Select Class > Progress NCEA.
Marks can be added to both internally and externally assessed standards.
10. View Results
Administrators: Achievement > NCEA > View Results.
Teachers: Achievement > Select Class > Class Summary.
Displays a grid view of colour-coded NCEA results, both Progress and Provisional.
A * alongside a result indicates there is a note attached to that assessment. Mouse over the result to ‘pop’ the note into view.
11. Student Summary
Administrators: Achievement > NCEA > Student Summary.
Teachers: Achievement > Select Class > Student Summary.
Displays a comprehensive breakdown of the NCEA standards, credits and results attached to each student. Defaults to the current year (provisional results), however data for all years can be selected. A summary of NZQA confirmed results from previous years can be viewed on the Credit Summary tab.
Finance > Processing > NCEA Billing. Billing functionality for NZQA is provided with invoicing options for single or bulk invoice and recording NCEA student finance details including Financial Assistance. From the NCEA Billing page, click the Assistance tab to record any payments, or in NZQA Details, tick the 'Financial Assistance' checkbox to see more assistance fields. Where payments are recorded in error, it is possible to undo the payment using "Undo Payment", note the ramifications of doing this in the Billing article.
13. NZQA Import/Export
Admin > Impor/Export > NZQA Import/Export
- *Create a file of NCEA assessments for upload to NZQA
- Create a Moderation list for a particular standard
- Import a previous year's confirmed NCEA results from a results file supplied by NZQA.
- Import the NZQA Consents file. ie. the list of Unit Standards the school is approved to teach.
Achievement > NCEA > Analysis
- Comparison tab available for comparing your previous year's confirmed NCEA results with national results
- Analyses your current NCEA data by ethnicity, NCEA level and result
15. Progress Table
Achievement > NCEA > Progress Table
The NCEA Progress table provides a sortable and filterable list of students and their respective credits gained for each NCEA level; their possible total, and the number gained for Literacy and Numeracy at Levels 1 and 2.
Filter by one, or a combination of: Instructional Year level, Form Class, Ethnicity.
We recommend using this table frequently - initially to monitor the number of credits attached to students at the start of the year, then monitoring progress as the year develops.
