NAG2A data

The NAG2A page for providing the .csv export for MoE reporting, replaced the former Excel format National Standards Spreadsheet. See MoE tables at the end of this article for the MoE rules around OTJ data required.

There are four tabs displayed which provide the following functionality to support NAG2A Reporting:

Summary

This page allows you to view the summary data generated for your school's OTJ results for the year selected by using the year picker in the top right hand corner. The default is the current year.

You can select the curriculum area and year level required (default is all year levels). The data displayed is split by gender and updated ethnicity requirements. The ‘Excluded’ column includes those students who are excluded because they are missing an OTJ result, NOT those who are excluded because they are in their first year of school and started school on or after 1 March.

Data Check

This page allows you to generate a report in order to check your data (the latest of the student's OTJs is listed) and identify those students for whom an OTJ is missing. The data does NOT include those students who do not have an OTJ (because they are in their first year of school and started school on or after 1 March).

The OTJ Year column indicates which year’s OTJ is being reported for a student based on a rules defined by the Ministry of Education. These take account of a student’s first schooling date and whether they have been promoted or held back a year. 

Where an OTJ should exist for a student(s), check that an OTJ has been entered for the student(s) in Curriculum > Enter Results > National Standards. Where the missing OTJ is entered, the result will then show on the NAG2A Report. If your school has been unable to formulate an OTJ for a student, a reason must be given. This is entered on the "Exclusion" page in the ‘Reason for Exclusion’ column.

Which OTJs should be included in the 2017 NAG2A Report due on 1 March 2018?

  • This should include all OTJs where the due date (both ‘Anniversary’ and ‘End of Year’) falls between 1 March 2017 and end-Feb 2018.

    N.B. Anniversary OTJs due in Jan/Feb 2018 should be entered in Dec 2017.

  • The OTJ reported for a student is determined by the following factors, based on the MoE rules (and highlighted in the tables at the end of this article):

A student’s first schooling date,  and

Whether the student progresses normally or whether they are held-back or promoted 

Missing OTJs

Each student should have 3 OTJs. However, unusually a student may be missing one or more of the required OTJ values for a valid reason. This will cause non-matching cross-totals. The reason and names (or NSNs) of the students causing non-matching cross-totals will be included on the worksheet.

Be aware that Y4 students may have only been entered for their After 3 Years OTJ by the teachers, they will also need to enter the Y4 OTJ. Occasionally teacher will also enter for the incorrect OTJ or the correct one but the students date started schooling may be incorrect. All missing OTJ's will need to be checked.

Teachers, Assessment Co-ordinators and Group Leaders are now able to enter the anniversary i.e. after 1, 2 and 3 years of school OTJ results for those students who have their anniversary OTJ in term 1 of the following calendar year.

Conversely staff with these responsibilities can review and if required, edit) the previous year's OTJ results when in Term 1 of the current academic year.

Use the Year Selector in the top right hand corner of the OTJ Class Summary screen to select the OTJ Anniversary year required.

Exclusions

This page displays a list of all students who are excluded because they do not have an OTJ. This includes:

  • those students who should have an OTJ, but for whom one has not been formulated – a ‘Reason for Exclusion’ must be entered for these students
  • those students who are excluded because their first schooling date is after 1 March – no action is required - these students are displayed for information only
  • those students who are excluded because the "Date Formed" for the OTJ falls outside of the reporting period - edit the student's OTJ date to within the reporting period 

Export Report

This page allows you to generate the NAG2A .csv report for uploading the Ministry export file using the Leadspace Portal. The first-listed .csv file appears at the top for the current year's report.

It's important to note that the .csv data export is written to Ministry specifications, however the Ministry does not require the PDF, which is only for your school internal information.

The default view is the current year. In order to reprint a previously generated report, select the required year using the year picker in the top right hand corner.

 

The tables below summarise the OTJ reporting criteria for the "starting time zones" shown with examples of progression:

Zone A Start < 1 March (typical 5th birthdays mid Dec to end February) Example: student can progress normally, but not usually held back or promoted
Zone B 1 March ≤ Start ≤ 1 July  Example: student can progress normally, or be held back, but not usually promoted
Zone C Start > 1 July  (typical 5th birthdays July to mid-December) Example: student can progress normally, or be promoted, but not usually held back

A student who progresses 'normally' through school  =  matching funding and current year levels

A student held back  =  funding year level > student's current year level

A student promoted  =  funding year level < current year level
