Checking, Printing and Emailing out Reports
Moderating reports
Moderation needs the Report Moderator permission or the Report Master role.
Opening the moderation screen
- Go to Reports › Report Builder › Moderation and Generation, or Teacher Home › Results & Reports › Report Moderation & Generation.
- Under Choose a report, pick the report.
- Optionally narrow the list:
- Show class members: Current (the default), Leavers and Pre-enrolments. Leavers and pre-enrolments only count if they were in the class during the reporting period.
- Classes and Year levels: show only some.
- Group by: Class or Year level. Edge remembers your choice.
The summary table
Each row is a class (or year level) showing Completed, Moderated, Generated and Published counts out of the total. An hourglass marks reports awaiting moderation. Rows turn green when every report is completed and moderated, and amber while some are awaiting moderation. Click a class name to see its students.
The student list
For each student you'll see Year, Completed By and Moderated By (with names and dates), a Generated PDF download link with the date it was generated, and Published. Reports sent back show a Changes requested badge. Click Back to classes to return.
Reviewing a report
- Click the magnifying-glass Review report icon on a student. It's available once the teacher has submitted, or after changes were requested.
- Read the report. If changes were requested earlier, the last note is shown at the top.
- To fix a typo, click into a comment and edit it. Markbook and achievement comments can be edited too (current-year reports only). Click Save, or just continue: pending edits are saved before approval.
- Choose one of:
- Mark as moderated: approves the report. Its status becomes Moderated and it becomes read-only for the teacher.
- Request changes: add an optional note explaining what needs changing. The teacher is emailed, the report shows Changes requested, and if it was published it is unpublished (the PDF is kept).
- Use Previous student and Next student to work through the class without closing the window.
You can also use Request changes on a report that's already moderated, to send it back to the teacher.
Generating PDFs
Generating creates each student's final PDF and stores it in Edge. Staff can download it immediately, but caregivers can't see it until it's published (or emailed).
- One student: in the student list, click the gears icon, Generate this report's PDF.
- A whole class or year level: click the gears icon on the summary row.
- Several classes: tick rows in the summary table, then With selected › Generate PDFs.
A progress window shows how far through it is. Generating doesn't require approval, so you can generate draft PDFs to check, but only moderated reports can be published or emailed.
If a report is already published, generating it again immediately replaces the copy caregivers see on the portal. You're warned before this happens.
Downloading and printing
Report Builder produces PDFs. To print reports, download the PDFs and print them from your PDF viewer.

Files are named Surname, First name - Report name, so they sort alphabetically by surname.
Print-friendly layouts
Set these in the report's Report Details before generating:
- Double-sided: each student's report has an even number of pages, so a double-sided print run never starts a student on the back of someone else's page.
- A5 booklet: print double-sided on A4 landscape (flip on the short edge), then fold.
- Add a blank page at the end: a separator between students in a print run.
- Margins are set in Reporting Configuration.
Publishing to the caregiver portal
Publishing needs the Report Moderator permission or Report Master role. A report can only be published once it is moderated and generated.
- One student: click the bullhorn icon in the student list. If it's greyed out, hover over it to see why (Report must be moderated first or Report must be generated first).
- A class or year level: click the bullhorn on the summary row. Every moderated, generated report in the group is published; others are skipped.
- Several: tick rows, then With selected › Publish.
Unpublishing
Use the undo-arrow icon (Unpublish — stop sharing…) or With selected › Unpublish. Caregivers can no longer see the report, but the PDF is kept so you can publish it again later. Requesting changes on a published report also unpublishes it.
Emailing reports to caregivers
Emailing sends each student's PDF as an attachment to their caregivers. It needs the report to be moderated but not published. Any report without a PDF yet is generated first.
- One student: the envelope icon in the student list.
- A class or year level: the envelope icon on the summary row (Email all approved reports for this class).
- Ticked rows: With selected › Email approved reports.
- Everything: Email all approved reports at the top right sends every approved report for the chosen report.
Only students who are moderated and currently enrolled are emailed. Emails go to each caregiver who is set to receive school notices, isn't blocked from access, and has an email address in Edge. If some caregivers have no email address, you're told how many. Emails come from your school's report email address if one is set, otherwise the school's general address.
When reports need generating first, the progress window says Please keep this page open, because the emails are sent after the PDFs are ready. Emailing the same group again sends the reports again, so check Email Logs before re-sending.
Emails are queued and sent within a few minutes. See them under Admin › Import/Export › Email Logs with the Report Builder Reports filter.
Exporting report data (CSV)
To review or archive what teachers entered, use the spreadsheet icon on a summary row (Export the entered report data for this class to a CSV file) or With selected › Export report data (CSV). The CSV has one row per student, with columns for each entered field and for markbook and achievement comments shown on the report.
Progress dialogs and Recent exports
Generating, downloading and emailing run in the background. A progress window shows the percentage done.
- For most jobs you can close the window and keep working: the reports will finish on their own.
- Tick Email me when this is done to get an email with a link when a long job finishes.
- Recent exports (on both the entry and moderation screens) lists your exports from the last 7 days, with their status and a Download link. Staff with the Master Reports permission see the whole school's exports. Running an identical export again replaces the earlier copy.
What caregivers see
- On the caregiver portal, published reports are listed on the Student Report page, and caregivers can open the PDF. Students can see their own published reports on the student portal.
- Emailed caregivers receive the PDF as an attachment, whether or not it is published.
- Staff can see a student's published reports on the Caregiver Reports tab of their record.
- Unpublished, draft and generated-but-unpublished reports are never visible to caregivers.
Troubleshooting and FAQ

Status glossary

Completed counts on the moderation screen include reports that are submitted or moderated.
